Santa Maria College is a Catholic Girls’ Secondary School enriched with the tradition of the Sisters of the Good Samaritan catering for over 800 students from Year 7–12. Authorised as an International Baccalaureate global school, Santa Maria College offers the Middle Years Program (Year 7–10) as part of their contemporary approach to learning. We are seeking candidates looking for Casual employment available across 5 days. Must be available September and October 2026.

About the Role:

Working under the direction of the HR Manager, this administration role will be responsible for supporting the administration team at the College during leaves of absence, working across both reception and/or Student Services. This role will also share the role of First Aid Officer when onsite.

The Administration Officer works with discretion and confidentiality and is the first point of contact for monitoring communications and workflow, presenting a professional, warm, positive and welcoming presence, engaging with the wider School community in a manner that brings credit to the school.

In this diverse role your duties and responsibilities consist of;

  • managing College landline enquiries and diverting calls to relevant stakeholders
  • managing foot traffic in and out of the College via the College gates
  • ensuring all Visitors and Contractors are signed in correctly
  • provide administrative support to various departments
  • work with discretion, diplomacy and confidentiality 
  • supporting with DP's schedules/arranging meetings, booking meeting rooms, email management, filing and records management
  • supporting with day to day correspondence and preparation of letters, photocopying, reports, presentations and other material as required 
  • organise, facilitate and support internal and external functions 
  • liaise promptly and efficiently with external contacts as required
  • Maintain accurate records, databases and files.
  • Use the school’s database system to record, report and manage student absences and student sign in and out processes 
  • Support with the monitoring of First Aid room, providing First Aid when required and maintaining First Aid records
  • Support with other administrative tasks as required

  • proficient in Google suite and the use of ICT for communication and record keeping
  • proficient in organising and coordinating meetings and events 
  • current Working with Children Check 
  • current National Criminal History Record Check
  • Level 2 First Aid and CPR Certificate (desirable)
  • have genuine interest in the school, students and families within the School Community and able to develop cooperative working relationships.
