Santa Maria College is a Catholic Girls’ Secondary School enriched with the tradition of the Sisters of the Good Samaritan catering for over 800 students from Year 7–12. We are seeking candidates looking for Full Time employment across 5 days per week: 8.00am-4.06pm.

About the Role:

Working under the direction of the Deputy Principal-Learning & Teaching. The Administration Officer/Personal Assistant is responsible for the day-to-day high-level administration and communication with staff, students and families, alongside assisting leadership with the efficient operation of the College. This role also serves and shares the role of First Aid Officer and Personal Assistant to the Deputy Principal-Learning & Teaching.

The Administration Officer/Personal Assistant works with discretion and confidentiality and is the first point of contact for monitoring communications and workflow to and from the DP office, coordinating meetings and appointments, document management, and preparation of information and correspondence.Ìý

The Administration Officer/Personal Assistant presents a professional, warm, positive and welcoming presence, and will engage with the wider School community in a manner that brings credit to the school and to the office of the Deputy Principal.

In this role your duties and responsibilities consist of;

  • provide administrative support and assistance to the Deputy Principal-Learning & TeachingÌý
  • work with discretion, diplomacy and confidentialityÌý
  • manage the Deputy Principal’s diary including scheduling/arranging meetings, booking meeting rooms email management, filing and records management
  • manage initial telephone enquiries and requests to the Deputy Principal and redirect where appropriateÌý
  • manage day to day correspondence and preparation of letters, emails, reports, presentations and other material as requiredÌý
  • organise and facilitate internal and external functionsÌý
  • liaise promptly and efficiently with external organisations as required
  • Maintain accurate records, databases and files.
  • Meet weekly with the Deputy Principal to work through priorities
  • Assist with Student Subject Selections via web preferences
  • Assist with Academic Excellence Assemblies
  • Assist with NAPLAN organisation
  • Is the SIMON Reports Administrator
  • Provide direct assistance to the VCE Leader for VASS Entry
  • Organise VCE Examination Storage and assist with management of Exam Supervisors
  • Support with other administrative tasks as required

  • current Working with Children CheckÌý
  • current National Criminal History Record Check
  • Level 2 First Aid and CPR Certificate (desirable)
  • have genuine interest in the school, students and families within the School Community and able to develop cooperative working relationships.
